Assigning User Profiles to Employees


By assigning user profiles to employees, you determine the specifics of their interactions with eTIMEphone. For example, if their profile is set up to collect worked and non-worked hours, they will be able to add regular or vacation pay using eTIMEphone.

To assign employees to User Profiles:

    1. If you are not currently continuing with the Setup Wizard process, select Assign User Profiles from either the Setup Wizard Menu or the task bar on the left side of the screen.

Result: The Assign User Profiles screen displays.

    1. Click on a profile name in the Current Profiles list.

Result: The features assigned to this profile are checked in the upper part of the screen. The pool of unassigned employees displays in the Master List column. The pool of employees assigned to this profile displays in the Assigned List column.

The features listed at the top of the screen are for information only (that is, they cannot be checked or unchecked). Refer to Setting Up eTIMEphone User Profiles for instruction on changing these settings. The possible feature assignments are:

Option

Meaning

Full Day Hours

The number of hours employees using this profile work in a full day. This number will be used as a default when entering worked or non-worked hours.

Time Zone

Time zone selected for the profile.

Capture Punches

Employees punches are captured using the eTIMEphone interface.

Capture Paycodes

Employees can enter either worked or non-worked hours using the eTIMEphone interface.

Monitor Caller ID

eTIMEphone will monitor the phone number a call originates from, and either reject the punch and send an e-mail, or just send an e-mail, if the number is not on the list assigned to these employees.

Record Messages

Employee can exchange messages with supervisors using eTIMEphone.

Labor Level Transfers

Employee can use eTIMEphone interface to enter labor level transactions.

Activity Codes

Employee can use eTIMEphone interface to enter activity code transactions.

Supervisor Access

Employees in this group are designated as supervisors, meaning that they can exchange messages with employees assigned to them. Refer to Assigning Employees to Supervisors for more information.

    1. Click one of the tabs at the top of either column if you want to change the sort order for the column. The options are: Name, Number (for employee number), Badge (for badge number), and Labor (for default labor level assignment).
    1. To assign employees to the current user profile:
      • To assign one employee, highlight the name in the master list on the left. Click > to assign the employee.
      • To assign multiple employees, highlight one employee name. Hold down Ctrl and highlight other employees. Click >.
      • To assign all employees on the list, click >>.

Note: Use < and << to return employees to the Master List, which means they are not assigned to this particular profile.

Result: Employees take on the attributes assigned to this profile.

    1. Click Save Changed to save your selections.
    1. To assign employees to other profiles, repeat steps 2 through 5.
    1. When finished assigning employees to profiles, click
      Continue.

Result: The wizard advances to the Assign Employees to Supervisors screen.

Note: When all employees have been assigned to profiles, the Master List should be empty.
