Setting Up eTIMEphone User Profiles


eTIMEphone User Profiles define how various groups of users interact with the eTIMEphone system. The System Administrator creates profiles, then assigns them to employees as appropriate. There will typically be at least two types of users:

To create User Profiles:

    1. Click User Profile Setup from either the Main Menu or the navigation bar on the left side of the screen.

    1. To create a new profile, click the Create Profile button, otherwise, continue with step 5.

Result: If you selected Create Profile, fields display to enter information about the profile.

    1. At the Profile Name prompt, enter a name for this profile.
    1. At the Description prompt, enter any additional text you want to use to describe this profile.
    1. At the Full Day Hours prompt, enter the number of hours employees using this profile work in a day. This number is be used as a default value when entering either worked or non-worked hours. (sick, vacation, or regular, for example).
    1. If you want the members of this profile to be able to enter punches using eTIMEphone, click the box next to the Capture Punches prompt.
    1. If you want the members of this profile to be able to enter either worked or non-worked hours (sick, regular, and vacation, for example) using eTIMEphone, click the box next to the Capture Paycodes prompt.

Note: You must first assign which paycodes are available for this profile. Refer to Selecting Which Specific Labor Levels, Activity Codes, and Pay Codes Apply to this Profile. You can assign 9 paycodes per profile.

    1. If you want the employee to be able to record messages for his or her supervisor, click the box next to the Record Messages prompt.
    1. If all members of this profile are supervisors, click the box next to the Supervisor Access prompt.

Result: Assigning supervisor access allows you to assign employees to a supervisor. Supervisors can then exchange voice messages with their reports over the eTIMEphone system.

Note: You must set up at least one profile with supervisor access to enable the eTIMEphone voice messaging feature.

    1. If you want members of this profile to be able to enter an activity code for a particular shift (generally used to indicate an atypical job function like charge nurse at a hospital), click the box next to the Activity Codes prompt.

Note: You must first assign which activity code s are available for this profile. Refer to Selecting Which Specific Labor Levels, Activity Codes, and Pay Codes Apply to this Profile.

Result: If you change an activity code setting, a warning dialog displays.

    1. Select Proceed to continue the operation, or Cancel if you think there may be employees working shifts using the activity code you selected.
    1. Set prompt level for labor levels using the drop-down list. The options are:

Unused

The labor level/activity code is not used in the eTIMEphone system for this profile.

Prompted

When the employee dials in a punch, eTIMEphone verbally prompts the user for an entry for the specified labor level or activity code.

    1. Note: You must first assign which labor levels are available for this profile. Refer to Selecting Which Specific Labor Levels, Activity Codes, and Pay Codes Apply to this Profile.
    1. Use the drop-down list to select the time zone associated with this user profile. This helps synchronize time stamps when transmitting punches to eTIME.
    1. eTIMEphone can use its Caller ID function to take action when a call originates from an unexpected location. Select one of the following Caller ID (CID) options:

The Caller ID feature is disabled for this profile. User punches will be accepted from any phone number.

Monitor

Check incoming call number for employees using this profile, but accept all punches. Notify System Administrator by e-mail when a punch is received from a number that is not in the site verification list.

Enforce

Check incoming call number for employees using this profile, and reject punches from numbers not in the site verification list. Notify System Administrator by e-mail that a punch was attempted from an unapproved phone number.

Selecting Which Specific Labor Levels, Activity Codes, and Pay Codes Apply to this Profile

The interface on the lower half of the Enter/Edit User Profile screen lets you choose which specific labor levels, activity codes, and pay codes will be offered as options when users assigned to this profile use the eTIMEphone system. To make these assignments:

    1. Click one of the selections underneath the two list boxes in the center of the screen (Labor Level 1, Labor Level 2, ...).

    1. To assign labor level and pay and activity codes to a profile:
      • To assign one item, highlight the item in the master list on the left. Click > to assign the item.
      • To assign multiple items, highlight one item. Hold down Ctrl and highlight other items. Click >.
      • To assign all items, click >>.

Note: Use < and << to return items to the Master List, which means they are not assigned to this particular profile.

Note: You can assign up to a maximum of 9 paycodes per profile.

Result: For labor levels and activity codes, the users of this profile will have the selected entries available through the eTIMEphone interface. For pay codes, the users of the profile can choose from the selected pay codes when entering worked and non-worked hours.

Saving Changes or Deleting Profiles

    1. Choose one of the following options:

Clears the screen to allow you to create a new profile.

Delete Profile

Deletes the currently displayed profile from the eTIMEphone database.

    1. Click Continue to move to the Assign User Profiles screen.
